Managing your organisation's email security does not have to be a solo job. You can easily bring your colleagues on board to help monitor the dashboard, review quarantined emails, or handle administrative tasks like billing.

Sending an invitation
To add a new colleague, log into your MailShield dashboard and navigate to your team settings. From there, look for the option to invite a new user.
You will only need to provide their work email address and select an appropriate role for them. Once you submit the form, MailShield automatically dispatches a secure, temporary invitation link directly to their inbox.
Understanding user roles
Not everyone in your organisation needs the ability to change critical security policies or view billing details. To keep your network secure, you can assign different roles based on what your colleague actually needs to do:
- Administrators: These users have full control. They can change global security thresholds, add new domains, view all reports, and invite or remove other users. This role should be reserved for trusted IT personnel or business owners.
- Standard Users: This role is perfect for general staff. They can log in to view their own personal email quarantine and release messages that might have been held, but they cannot alter your organisation's security settings or view billing information.
What your colleague sees
When your colleague receives the invitation email, they simply need to click the secure link inside it. They will be taken to a setup page where they can create their own account and set a strong passphrase.
Once they finish, they will instantly be linked to your organisation's MailShield environment, with their access strictly limited to the role you chose for them.
Managing access over time
Business needs change, and staff members occasionally move on. You remain in complete control of your organisation's account. If a colleague leaves the company or changes departments, you can revoke their access or change their role with a single click from your team settings page, ensuring your configuration remains secure at all times.
