As your organisation's email security needs evolve, you can easily adjust your MailShield subscription to match. Whether you need to cover more domains, unlock advanced e-Discovery features, or scale back your coverage, all plan changes are managed directly from your dashboard.
Accessing your plan options
To make changes to your subscription, log into your MailShield dashboard and navigate to the Subscription & Billing page.
Click on the Plans tab. Here, you will see your current active plan highlighted, along with the other available tiers. You can use the toggle at the top of the list to preview the pricing differences between Monthly and Annual billing.
Upgrading your plan
Upgrades are designed to take effect immediately, ensuring your network instantly benefits from increased capacity or advanced features.
- Locate the plan you wish to upgrade to and enter the number of domains you need to protect.
- Click Proceed to Payment.
- Billing Profile Check: If this is your first time making a payment, or if your billing profile is incomplete, you will be prompted to provide your legal billing name, email, phone number, and optional tax details (like a KRA PIN). Once you save this information, the system will seamlessly redirect you to the secure checkout.
- Complete the payment via the secure gateway. Your new plan limits and features will be unlocked the moment the transaction clears.
Downgrading your plan
Unlike upgrades, downgrades do not take effect immediately. To ensure your mail flow is not suddenly interrupted, your current plan will remain fully active until the very end of your current billing cycle. The new, downgraded plan will automatically take over when your renewal date arrives.
Pruning excess usage Before the system allows you to schedule a downgrade, your account must fit within the strict limits of the new plan.
- If you are moving to a plan with a lower domain limit, you must first go to the Domains page and delete any excess domains.
- If the new plan supports fewer administrative users, you must remove the excess team members from the Users page. Once your usage is within the new limits, the Confirm Downgrade button will unlock.
Pending plan changes Once a downgrade is scheduled, your plan selection will be locked. A banner will appear in your billing dashboard confirming your pending downgrade. You will not be able to invite new users or add domains beyond the limits of your upcoming plan during this transition period.
Important: Downgrading from the Compliance tier
If you are currently on the Compliance tier and decide to downgrade to a Standard or Strict plan, your e-Discovery and Archival access will terminate at the end of your billing cycle.
In accordance with strict data minimisation principles, once the downgrade takes effect, MailShield is no longer legally obligated to retain your immutable email archives. All archived emails, including those under active Legal Hold, will be permanently scheduled for deletion 30 days after the downgrade takes effect. Please ensure you export and download any required forensic records from the e-Discovery portal before your billing cycle ends.
